Electoral Roll Renewal

Once every six years, the preparation of new church electoral rolls takes place, which means that everyone has to come off the roll and re-apply. The last occasion for the preparation of new rolls was in Spring 2019, so you won’t have to do this again until 2025.

Preparing for the renewal

Notice of the renewal of the roll must be given not less than two months before the Annual Meeting using the Electoral Roll Renewal Notice which can be downloaded below. Once the notice has been displayed, the preparation of the new roll must also be announced in church services.

The PCC is required to take reasonable steps to inform those whose name is entered on the current roll that a new roll is being prepared and that they must apply for enrolment if they wish to be on the new roll. However, this does not apply to those whose names were removed from the current roll under Church Representation Rule 1(9).

Those wishing to be entered on the new roll must be entitled under Church Representation Rule 1(2), and all who wish to be entered on the new roll must complete the Electoral Roll Application Form (also available for download below). This includes those whose name is currently entered on the existing roll.

Required timings for completion of the renewal

The new electoral roll must be completed in time for the Annual Parochial Church Meeting of that year - not less than 15 days, and not more than 28 days, before the Annual Meeting.

Once the new electoral roll is complete it must be published for a continuous period of not less than 14 days before the Annual Meeting.

GDPR and electoral rolls

It is not necessary to obtain consent under GDPR to process personal data for the Electoral Roll because the data is processed on the basis of a legal requirement. You will, however, need to provide the PCC privacy notice to those who apply to be on the Electoral Roll.
